Planning your event

Events are an important aspect to the city – they bring new visitors, local economic income and a great atmosphere.

If you’re organising an event in Lincoln, you should:

  • Ensure you have all the necessary documentation in place to allow you to run a safe event. This may include:
    • Event Management Plan
    • Risk Assessment
    • Traffic Management Plans
    • Medical Plan

We strongly advise you make use of the free templates and guidance notes on the Lincolnshire Resilience Forum website. There are templates here for event management plan and risk assessment but documentation such as traffic management plan and medical plan should be requested from your appointed providers for these services.

  • Contact the Lincoln Safety Advisory Group with the details of your event and submit any documentation you have in place via events@lincoln.gov.uk
  • Contact the Food Safety and Hygiene Team (if providing food or refreshments) via food@lincoln.gov.uk
  • If you think that your event will impact in any way on the public highway (including roads and footpaths), you must also register your event with Lincolnshire County Council by completing an Event Affecting the Highways Form. Please note by using this form to notify the Highways department, they can work with you to minimise the risk of other events or road works clashing with your event. 
  • If there is regulated entertainment at your event including the sale of alcohol or amplified music, there may be a requirement to apply for a Temporary Event Notice. For licensing queries please contact licensing@lincoln.gov.uk.
